Add up the amounts in a written proposal

Use amounts from a provider’s written proposal to organise your comparison. This worksheet does not estimate service prices or diagnose appliance work.

Use non-overlapping amounts

Enter only amounts that the provider has actually supplied. If the attendance charge is already included in a quoted total, do not enter it again as an extra. Ask the provider to explain how the lines fit together before relying on the total. Record whether tax is included in every amount and compare proposals on the same basis.

A blank item is not proof that it costs nothing. Mark a missing price or unresolved scope in your notes and obtain clarification. The worksheet can add numbers, but it cannot determine whether an excluded task is needed or whether an allowance will cover the eventual work.

Keep a decision record

Save the original proposal separately from this calculation. Note its date, the appliance or property it relates to and any conditions that affect the amount. If the provider issues a revised proposal, keep both versions and identify which one was accepted.

Where a manager, owner or another person must approve spending, send the complete scope with the amounts. A total without exclusions and approval conditions can hide the difference between an assessment and the work that may follow it. Ask for a written update before approving a changed scope.
